Planning a wedding is a whole new world for most couples—and it’s easy to fall into a few common traps along the way. Pinterest boards and Instagram reels make it all look easy and glamorous, but the behind-the-scenes logistics can get complicated really fast. As a wedding planner and event coordinator, I’ve seen it all. So let’s set the record straight on a few misconceptions that can trip you up if you’re not careful.
1. “My venue coordinator is basically my wedding planner.”
This is one of the biggest misconceptions out there—and a potentially stressful one if you’re counting on more than what’s in their job description. Venue coordinators work for the venue, not for you. Their job is to make sure the venue delivers what it promised: that tables and chairs are set up, restrooms are stocked, and the catering team (if it’s in-house) is running on time.
What they won’t do? Build your timeline, manage your vendors, cue your ceremony, steam your veil, track down the missing florist, or handle the cousin who’s had one too many. That’s where a planner or day-of coordinator comes in—someone whose sole job is to make sure your vision comes to life and handle the million little things so you don’t have to.
2. “I don’t need a day-of coordinator—my family and friends can help!”
While your friends and family may want to help, asking them to take on the role of a coordinator is a big ask—and can lead to unnecessary stress for everyone. Your friends and family should be able to enjoy the day with you, not run around checking on the cake delivery or setting up your place cards. A professional coordinator ensures everything runs smoothly while your crew focuses on celebrating.
3. “Vendors don’t need a timeline—I’ll just tell them what time to arrive.”
Timelines aren’t just for planners—they’re a critical tool that keeps every vendor on the same page. A solid timeline ensures that your hair and makeup runs on schedule, your photographer knows when to arrive for getting-ready shots, your DJ is ready to cue music for the ceremony, and your catering team knows exactly when to pour champagne. Even the best vendors need a detailed plan to make the day feel effortless.
4. “If I hire great vendors, I don’t need a planner.”
Having a rockstar vendor team is key—but a planner ties everything together. Think of your planner as the director of your wedding production. They communicate with vendors, manage logistics, solve problems, and make sure all the moving pieces come together seamlessly. Great vendors + a great planner = your best shot at a stress-free wedding.
